What is an insurance ERP?

An insurance ERP is an integrated software platform that manages an insurer's core operations, including policies, underwriting, claims, premium collection, accounting and regulatory reporting, together with back-office functions such as HR and procurement, in one system with one shared database.

What does an insurance ERP do?

It records every client, policy, premium, claim and financial transaction once and makes that data available to sales, operations, finance and compliance. Typical functions are policy administration, quotations, underwriting, claims processing, billing and collections, commissions, general ledger, reporting and workflow approvals.

What is the difference between an insurance ERP and policy administration software?

Policy administration software manages the policy lifecycle: issuing, endorsing, renewing and terminating policies. An insurance ERP includes policy administration but also covers claims, finance, CRM, HR, procurement and compliance, so the whole company runs on one platform instead of a policy system plus separate finance and HR tools.

Can insurance ERP software manage claims?

Claims

What is insurance claims management software?

Claims management software records a claim from first notification to settlement. It links the claim to the policy, stores supporting documents, routes the claim through assessment and approval, tracks reserves and payments, and keeps a full history of every decision so the insurer can report on and audit its claims.

How does automated claims processing work?

Rules in the system check each new claim against the policy: whether cover was in force, whether premiums were paid, and which documents are required. Straightforward claims are routed directly to approval, while claims that trip a rule are referred to an assessor. Notifications to the claimant are sent automatically at each stage.

Can customers submit claims digitally?

Yes. With Ontech LifeI ERP a policyholder or beneficiary can start a claim from the client portal, the mobile app or the USSD menu, and receive SMS or WhatsApp updates as the claim progresses. Agents can also register claims on a customer's behalf.

Can claims documents be uploaded online?

Yes. Death certificates, medical reports, identity documents and other evidence can be uploaded from the portal or photographed and submitted from the mobile app, and are stored against the claim for assessors to review.

How can claims processing software reduce manual work?

By checking policy status and premium history automatically, requesting the right documents up front, routing approvals to the right people, and sending status messages without staff intervention. Assessors spend their time on judgement rather than on chasing paperwork and re-keying data.

Compliance and PIA

What is PIA compliance?

PIA compliance is meeting the obligations that the Pensions and Insurance Authority places on licensed insurers in Zambia under the Insurance Act No. 38 of 2021, including licensing, separation of long-term and general business, periodic returns and financial statements, capital and solvency requirements, policyholder protection and complaints handling.

What does PIA require from insurers?

In general terms, PIA requires insurers to hold a licence for their class of business, maintain the capital and solvency levels the Authority sets, submit periodic returns and audited financial statements, keep proper records, treat policyholders fairly and handle complaints. The specific returns and timetables are set by the Authority and should be confirmed with it directly.

How can insurance software support regulatory reporting?

By keeping policy, premium, claims and ledger data in one system with an audit trail, software can generate returns from live records, keep fund and solvency positions current, and provide supporting detail for any figure the regulator queries, instead of relying on spreadsheets built each reporting period.

Mobile Money, USSD and messaging

Which Mobile Money services can policyholders use to pay premiums?

Ontech LifeI ERP collects premiums through MTN Mobile Money, Airtel Money and Zamtel Kwacha. A payment request is sent to the policyholder's phone, they confirm it with their wallet PIN, and the payment is recorded against the policy as soon as the operator confirms it.

Can policyholders use the service on a feature phone?

Yes. Ontech LifeI ERP includes a USSD service, so a policyholder can dial a short code on any handset to check cover, see the next premium due, pay through Mobile Money or start a claim, with no smartphone, app or data bundle required.

What notifications are sent by SMS and WhatsApp?

Premium reminders, payment receipts, policy issue and renewal notices, claim status updates and maturity notices can be sent by SMS, WhatsApp or email. Templates are managed in the platform and each message is logged against the policy.

How are Mobile Money payments reconciled?

Each operator confirmation carries a transaction reference that Ontech LifeI ERP matches to the policy, premium period and ledger account automatically. Finance sees the receipt in the general ledger and the bank reconciliation queue without manual receipting.

What can policyholders do in the client portal and mobile app?

They can view their policies and cover, pay premiums through Mobile Money, submit claims with photographed documents, download a digital policy card, update contact and beneficiary details and raise support requests. The Android app is available from the download page.
