What is an insurance ERP?
An insurance ERP (enterprise resource planning system) is a single, integrated software platform that runs the core operations of an insurance company: policy administration, underwriting, claims, premium collection, accounting, regulatory reporting, and the back-office functions such as HR, payroll and procurement. Instead of separate systems for each department, an insurance ERP keeps one record of every client, policy, payment and transaction.
Ontech LifeI ERP is an insurance ERP built by Ontech Solutions for life insurance (long-term insurance) companies in Zambia. It adds the channels Zambian policyholders actually use, including Mobile Money, USSD, SMS and WhatsApp, on top of the core insurance and ERP modules.
Key capabilities
Policy administration
Issue, endorse, renew, lapse, reinstate, surrender and mature policies from one policy record, with premium schedules and beneficiary details attached.
Claims management
Register death, disability, maturity and funeral claims, collect supporting documents, route approvals and record settlement.
Underwriting and quotations
Quote by product, age, gender and smoker status, apply underwriting rules, and convert accepted quotations into policies.
Premium collection and finance
Collect premiums through Mobile Money and other gateways, reconcile receipts, and post to a general ledger with IFRS 17 and actuarial reporting.
CRM, agents and commissions
Track leads and opportunities, manage brokers and direct sales agents, and calculate and pay commissions.
Compliance and regulatory reporting
Produce the returns and audit trail an insurer needs for the Pensions and Insurance Authority (PIA) and the Zambia Revenue Authority (ZRA).
Back-office ERP
HR, payroll, leave, procurement, fixed assets, inventory, projects, approvals and staff training in the same platform.
How it works
- Products, rates and underwriting rules are configured once in the product catalogue.
- Sales agents, brokers, the client portal, USSD or the mobile app create quotations and applications against those products.
- Underwriting accepts or refers each application, and accepted applications become policies with a premium schedule.
- Premiums are collected through Mobile Money, bank or cash channels and reconciled automatically against the policy.
- Claims are registered, documented, approved and settled with a full audit trail.
- Finance, actuarial and compliance teams report from the same data without re-keying it.
Benefits
One version of the truth
Finance, operations and compliance work from the same policy and payment records, so reports agree with each other.
Less manual re-keying
Data entered at the point of sale flows through underwriting, billing, claims and the ledger without spreadsheets in between.
Faster customer service
Staff can see a policyholder's cover, payments and claims in one screen, and policyholders can self-serve through the portal, USSD or the app.
Audit-ready operations
Every change to a policy, claim or payment is logged with who did it and when, which simplifies internal audit and regulatory inspection.
Who it is for
- Licensed long-term (life) insurers in Zambia replacing spreadsheets or legacy policy systems.
- New life insurance companies that need a complete operating platform from day one.
- Insurers adding Mobile Money, USSD or WhatsApp distribution to existing products.
- Finance and compliance teams that need IFRS 17 and PIA reporting from live operational data.
Zambia-specific considerations
In Zambia, long-term (life) insurance is regulated by the Pensions and Insurance Authority (PIA) under the Insurance Act No. 38 of 2021, which requires insurers to be licensed and to submit periodic returns. An insurance ERP that keeps policy, premium and claims data in one place makes those returns easier to produce and easier to defend.
Most Zambian policyholders pay and communicate through mobile phones rather than bank branches or email. Premium collection through MTN Mobile Money, Airtel Money and Zamtel Kwacha, and service through USSD and WhatsApp, are therefore core requirements rather than optional add-ons.
How Ontech LifeI ERP addresses this
Built for life insurance, not adapted from general insurance
Product lines include term life, whole life, endowment, unit-linked, annuities, funeral cover and group life, each with the policy events that matter for long-term business such as surrender values, paid-up values, policy loans, bonuses and maturities.
Zambian payment and messaging channels included
Mobile Money collection, USSD self-service, SMS, WhatsApp and email are part of the platform rather than separate integrations.
Insurance plus the whole company
HR, payroll, procurement, fixed assets, CRM and approvals run in the same system as policies and claims, so an insurer does not need a second ERP.
Frequently asked questions
What is an insurance ERP?
An insurance ERP is an integrated software platform that manages an insurer's core operations, including policies, underwriting, claims, premium collection, accounting and regulatory reporting, together with back-office functions such as HR and procurement, in one system with one shared database.
What does an insurance ERP do?
It records every client, policy, premium, claim and financial transaction once and makes that data available to sales, operations, finance and compliance. Typical functions are policy administration, quotations, underwriting, claims processing, billing and collections, commissions, general ledger, reporting and workflow approvals.
What is the difference between an insurance ERP and policy administration software?
Policy administration software manages the policy lifecycle: issuing, endorsing, renewing and terminating policies. An insurance ERP includes policy administration but also covers claims, finance, CRM, HR, procurement and compliance, so the whole company runs on one platform instead of a policy system plus separate finance and HR tools.
Can insurance ERP software manage claims?
Yes. Claims management is a core module. Ontech LifeI ERP registers claims, captures supporting documents, routes them through review and approval, and records settlement, with the claim linked to the policy and the ledger.
Can an insurance ERP integrate with Mobile Money?
It can if it was designed for markets where Mobile Money is the main payment channel. Ontech LifeI ERP collects premiums through MTN Mobile Money, Airtel Money and Zamtel Kwacha and reconciles each payment against the policy automatically.
Can Ontech LifeI ERP be used by insurers in Zambia?
Yes. Ontech LifeI ERP was developed by Ontech Solutions in Lusaka specifically for life insurance companies operating in Zambia, with Zambian payment channels, USSD, and reporting aligned to local regulatory requirements.
